Privacy Policy

This policy explains what information Switchboard collects, how we use it, and the choices you have. It covers both business owners who use Switchboard and the callers who reach a Switchboard receptionist.

Our role (who's responsible for what)

For a business owner's account and business configuration data, Switchboard is the controller — we decide how it's used. For the personal information of callers who reach a receptionist (phone numbers, recordings, transcripts, and call details), the business owner is the controller and Switchboard is the processor / service provider: we handle that information on the owner's instructions, only to provide the service, and we do not use it for our own purposes or sell it. If you're a caller with a request about your information, please contact the business you called; we'll assist that business in responding.

What we collect

  • Account: your name, email, and sign-in identity.
  • Business configuration: your business name, location, hours, services, prices, FAQs, and alert numbers.
  • Call data: for calls handled by your receptionist — caller phone number, time, duration, what the call was about, the outcome (e.g. booked, message, emergency), and, where available, a call recording and/or transcript.
  • Billing: handled by Stripe; we store your plan and subscription status, not your full card number.
  • Usage & technical data needed to operate and secure the service.

Call recording & consent

Calls to your Switchboard number may be recorded and/or transcribed to provide the service (booking, quality, and your call history). Recording laws vary by state — some require all parties to consent. As the business owner, you are responsible for providing any legally required notice or consent to your callers(for example, a spoken "this call may be recorded" disclosure, which your receptionist can be configured to give). We provide the tools; you are the party that determines the purpose of the calls.

Text messages (SMS)

If you opt in, Switchboard sends you automated text alerts about your business calls (booking confirmations and emergency-call alerts) at the mobile number you provide. Message frequency varies; message and data rates may apply. Reply STOP to unsubscribe or HELP for help. We do not share your mobile number or SMS opt-in consent with any third parties or affiliates for their own marketing purposes. Business texting is subject to carrier registration (A2P 10DLC) and applicable consent laws.

How we use information

  • To operate your receptionist — answer calls, book appointments, and alert you.
  • To show you your dashboard, analytics, and weekly summary (which you can unsubscribe from).
  • To provide support, prevent abuse, and keep the service secure.

Voice & biometric data

Recordings and transcripts capture the words spoken on a call. We do not create, use, or store voiceprints or other voice-biometric identifiers to identify individuals, and we do not use call audio to build biometric profiles. If that ever changes, we will update this policy and obtain any consent the law requires before doing so.

Who we share it with

We use trusted service providers ("sub-processors") to run the platform, and share only what each needs: telephony & messaging (Twilio), voice AI (Retell), scheduling (Cal.com), payments (Stripe), language AI for configuration and quality (Anthropic), email (Resend), and infrastructure (Vercel, Upstash, Turso). Each is bound to protect the data and use it only to provide its service to us. We may also disclose information to comply with law or valid legal process, or to protect the rights and safety of users and the public. We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising.

Security

We use commercially reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, and scoped credentials for our providers. No system is perfectly secure, but if a breach affecting your personal information occurs, we will notify affected users and any regulators as required by applicable law.

Retention

We keep account and call data for as long as your account is active and as needed to provide the service and meet legal, accounting, and dispute-resolution obligations. You can request deletion of your account and associated data (including recordings and transcripts) by contacting us; we will delete or de-identify it within a reasonable period unless the law requires us to keep certain records. Business owners can also configure whether calls are recorded and how long history is kept, where that option is available.

Your privacy rights

Depending on where you live (for example, California under the CCPA/CPRA, and Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and other states with comprehensive privacy laws), you may have the right to access, correct, delete, or receive a portable copy of your personal information, and to opt out of any sale or targeted-advertising use — which, as noted above, we do not do. We will not discriminate against you for exercising these rights.

  • Unsubscribe from the weekly summary via the link in that email.
  • Reply STOP to any text to opt out of SMS alerts, or manage texting from your dashboard.
  • Request access to, correction of, or deletion of your data by contacting us; we may need to verify your identity first.
  • Cancel your subscription anytime from the billing portal.

If you are a caller and want to exercise rights over information collected during a call, please contact the business you called (the controller of that data); Switchboard will help that business honor your request.

Children

Switchboard is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13 (or the age set by your local law). If you believe a child's information has reached us, contact us and we will delete it.
